Dick Hannah Dealerships is a family-run business focused on innovation and employee care. They are seeking a motivated Administrative Assistant / BDC Representative to support the sales and finance teams with car deal paperwork, customer communication, and ensure smooth transaction processing.
Responsibilities
- Review and organize car deal paperwork for accuracy and completion
- Package finalized deals for lender submission and internal processing
- Ensure all required documents are properly signed, scanned, and filed
- Maintain compliance with dealership and manufacturer guidelines
- Communicate with sales and finance staff regarding incomplete or incorrect documents
- Enter and update deal data in the DMS/CRM systems
- Maintain organized digital and physical files of all deal documents
- Make outbound calls, emails and texts to follow up with internet leads, unsold showroom traffic, and service customers
- Schedule new appointments and follow-up on missed appointments
- Use our CRM tool (e.g., VinSolutions) to track communication and follow-ups
- Provide accurate product, pricing, and appointment information to customers
- Support sales campaigns, offers, customer lists, and service-related tasks to drive customer engagement
- Foster strong communication and collaboration with the sales team to ensure seamless hand off of leads and effective teamwork
