About the position
Responsibilities
• Masterfully manage schedules, travel arrangements, and expense reports for the Vice President and Directors.
• Serve as a communication hub, connecting with departments, local Clubs, and external stakeholders.
• Draft polished correspondence, organize filing systems, and keep everything running like clockwork.
• Prepare materials and manage logistics for meetings and events, ensuring every detail is covered.
• Keep projects on track by managing timelines, gathering data, and creating insightful reports and presentations.
• Collaborate with the team to develop budgets and support funding proposals.
• Build and maintain databases to streamline information storage and retrieval.
• Work across departments and with external consultants to meet deadlines and achieve goals.
• Oversee grants, budgets, and payment processes with precision and care.
• Provide backup support and lend a hand wherever it's needed to keep the team moving forward.
Requirements
• Associate's degree or equivalent experience required.
• At least five years of administrative experience, including two years supporting senior leaders.
• Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Access, Outlook).
• Exceptional communication skills and a polished executive presence.
• Proven ability to build trust, work collaboratively, and maintain confidentiality.
• A sharp eye for detail, a talent for multitasking, and a commitment to seeing things through to the finish line.
