Role Summary
As an Import Operations Specialist, you will play a critical role in our daily import operations, supporting both our logistics team and customer service functions. Your primary responsibility will be to coordinate delivery orders, dispatch shipments, and ensure the successful and timely final delivery of imported goods. Core Responsibilities
- Document Verification: Cross-check bill of lading numbers, container numbers, and piece counts on delivery orders against arrival notices or bills of lading to ensure accuracy and attention to detail.
- Shipment Tracking: Monitor the status of inbound shipments to confirm arrival, release, and availability for pick-up from terminals or railyards, providing real-time updates to stakeholders.
- Container Movement: Coordinate the inland movement of containers to their final destinations and update the estimated time of arrival (ETA) in the system, ensuring seamless and efficient logistics operations.
- Communication: Issue delivery orders to truckers and confirm receipt in writing; follow up on pickup and delivery status, providing excellent customer service and support to our clients.
- System Updates: Maintain accurate records of ETA changes, delivery order issuance, and proof of delivery in the operations system, ensuring data integrity and compliance with regulatory requirements.
- Terminal Coordination: Handle terminal-specific tasks, including paying Pier Pass fees (Los Angeles / Long Beach terminals) and claiming containers for port checks as needed, demonstrating your knowledge of import operations and logistics procedures.
- Client Communication: Notify customer service representatives of any delays or issues with deliveries, enabling them to proactively update clients and provide exceptional customer service.
- Customs Compliance: Facilitate customs examinations, including payment processing, and obtain client authorization for any required demurrage guarantees, ensuring compliance with customs regulations and procedures.
- Reporting: Monitor daily reports for delivery orders not sent and identify any missing deliveries to address promptly, providing insights and recommendations for process improvements.
Qualifications and Requirements
To be successful in this role, you will need to possess a combination of education, experience, and skills. The ideal candidate will have:
- 2-3 years of experience in import logistics, freight forwarding, or a similar role, with a strong understanding of import operations and logistics procedures.
- Proficient in managing bill of lading documentation and understanding import operations, with excellent written and verbal communication skills.
- Strong organizational and analytical skills with attention to detail, ability to work independently in a fast-paced, remote environment.
- Advanced knowledge of Excel, Word, and related software tools, with a team-oriented mindset and a focus on collaboration and client satisfaction.
Essential Qualifications
- Education: High school diploma or equivalent required; degree in logistics, supply chain management, or a related field preferred.
- Experience: 2-3 years of experience in import logistics, freight forwarding, or a similar role, with a strong understanding of import operations and logistics procedures.
