We're now seeking a highly skilled and motivated Secretary III to support the General Counsel – Disney Experiences (DX) in our Legal Department.
About the Role
The General Counsel – DX leads a large and diverse team of Legal professionals across the U.S., Asia, and Europe, supporting the Disney Experiences segment and Corporate Real Estate teams. As a Secretary III, you will play a vital role in coordinating confidential and complex administrative tasks with limited direction. You'll closely partner with Executive Admins for senior executives across the Legal and Global Affairs department and the enterprise, ensuring seamless day-to-day operations.
Key Responsibilities
- Strategic Calendar Management: Thoughtfully manage the Executive's complex calendar, prioritizing their time through proactive calendar management and vetting meeting requests.
- Internal and External Communications: Interface with various internal Disney departments, Executives, and business units, as well as external contacts, in a professional and courteous manner.
- Confidential Correspondence: Manage highly confidential correspondence and information with utmost discretion, maintaining standards of strict confidentiality.
- Travel Arrangements: Book travel for the Executive, build travel itineraries, and manage Travel & Entertainment expenses.
- Meeting Preparation: Ensure the Executive is prepared for meetings and events, researching and reporting on specific topics as required.
- Meeting Coordination: Coordinate agendas, take meeting notes, and follow up on action items from leadership meetings.
- Event Planning: Collaborate with partners to plan quarterly all-hands meetings, including agenda and logistics.
- Document Preparation: Revise and redline documents, assist with document preparation, and pull, consolidate, and collect information for various reporting needs.
- File Management: Manage and maintain various files, databases, and filing systems.
- Administrative Support: Participate in the administrative team, providing backup to other assistants and assisting with departmental tasks.
Requirements and Qualifications
Basic Qualifications
- Experience: Minimum of 5 years of experience in an administrative capacity for a senior executive (SVP or higher).
- Computer Skills: Strong proficiency in Microsoft Office software programs (Word, Excel, Outlook, PowerPoint, etc.) and Adobe; ability and willingness to learn and use new software and tools.
- Initiative and Flexibility: Ability to anticipate needs, take initiative, prioritize, meet deadlines, and be resourceful and flexible.
- Interpersonal Skills: Team player with strong interpersonal skills and ability to build strong relationships across multiple levels of employees and clients.
- Organizational Skills: Highly organized, attentive to detail, strong proofreading skills, and ability to multi-task effectively.
- Judgment and Communication: Ability to exercise appropriate judgment in executing tasks without supervision and effective communication skills (written and verbal).
Preferred Qualifications
- Experience in a Law Firm or In-House Legal Department: Experience supporting attorneys in a large law firm or large in-house legal department.
Education
- Bachelor's Degree or Equivalent: Bachelor's degree or equivalent experience.
What We Offer
Compensation and Benefits
The hiring range for this position in Burbank, CA is $94,200 to $126,200 per year, based on a 40-hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits.
