As a Virtual Administrative Specialist, you'll be the central point of contact, ensuring smooth operations and supporting our mission of preparing students for college success.
Key Responsibilities:
- Serve as the primary point of contact for staff, students, and parents, managing inquiries and communications effectively.
- Manage incoming calls, directing them to the appropriate personnel and taking accurate messages.
- Assist in nurturing relationships with current clients.
- Proctor student tests as needed.
- Report any issues related to staff, clients, vendors, or subcontractors to the Directors.
- Develop, implement, and maintain efficient office systems and procedures.
- Manage and respond to all work-related emails.
- Maintain and manage the company calendar, appointments, and client schedules.
- Schedule appointments for Directors.
- Organize and compose office correspondence, documents, and reports.
- Provide support to sales and production efforts.
- Create engaging social media content for company platforms.
- Prepare and send out communications (thank you notes, referral gifts, etc.).
- Review upcoming daily/weekly schedules with Directors.
- Participate in staff meetings as required.
- Ensure the company's public image aligns with our branding.
- Assist with marketing initiatives.
Qualifications:
- Exceptional organizational and time management skills.
- Highly self-motivated and able to work independently with minimal supervision.
- Coachable with a positive and proactive attitude.
- Ability to thrive under pressure and multitask effectively in a professional setting.
- Excellent communication skills, both written and verbal, with a customer-centric approach.
- Highly professional, extremely organized, and punctual.
- Proficient in iOS, Windows, MS Office Suite, and G-Suites.
- Experience in an educational institution is a plus.
- Strong business etiquette and follow-up skills.
- Detail-oriented with the ability to prioritize tasks to meet deadlines.
- Tact and discretion in handling confidential information.
- Maintain a calm and professional demeanor.
- Ability to work methodically in a fast-paced environment.
Requirements:
- Bachelor's Degree or higher.
- Reliable computer with Windows 10 or Catalina MacOS.
- Functional video camera.
- High-speed internet (minimum 20mb/s).
- Quiet home workspace with a clean background.
